Management automation that unifies the visitor experience and city operations for KidZania in a single system
In 2025, PROJX Digital developed a custom-built city management automation for KidZania that runs the visitor experience, cash register operations, ticketing processes, loyalty program and city management from a single center. Operating in the children's play city and entertainment field, KidZania needed far more than a standard management software due to its multi-layered operational structure. Visitor movements within the city, ticketing flows, cash register and cashier operations, promotions, loyalty schemes, kiosk sales and on-site experience processes were all directly connected to one another.
The need was not only to digitalize the processes, but also to build a unified platform that strengthens the bond between the visitor and the city, places behavioral data at its core, accelerates the operational flow, and gives the management team greater control. For this reason, the project was approached not as a classic automation software but as a strategic digital transformation spanning the entire business.
CORE PROBLEM
The core issue to solve in the project was that city management could not be perfected due to fragmented processes spread across different software. When sales, cash register, visitor tracking, loyalty management, campaigns, POS devices, reporting and integrations run in different tools, both operational speed declines and managerial visibility weakens.
The structure needed for KidZania was a custom city management automation that knows the visitor better, unifies the customer journey, accelerates on-site processes and makes the entire operation manageable from a single center.
PROJECT GOAL
The core goal of this project was to strengthen the bond between visitors and the city, get to know visitors better, manage the loyalty system more effectively, and bring city management end-to-end into a single software platform. Alongside this, the goal was to simplify cash register and cashier processes, increase operational speed with touch-screen- focused flows, and support data-driven management decisions.
PROJX APPROACH
PROJX Digital did not approach this project merely as a software development job answering operational needs. The process was planned with a holistic methodology that jointly considered on-site experience, visitor behavior, cash register operations, loyalty management, integration infrastructure and management reporting.
The project began with a SWOT analysis to evaluate the current situation and opportunity areas. Then, during the project planning and project architecture design phases, both the city's front-end experience and its back-end operational processes were considered within a single framework. This way, not just a working automation but a business platform that elevates both the city experience and management quality together was developed.

Thanks to this structure, the on-site, sales, visitor, loyalty and reporting layers of the city's operation
were brought together on a single digital backbone.
DESIGN AND OPERATIONAL EXPERIENCE APPROACH
In this project, the design focus was built on making cashier and visitor management easier with touch screens and accelerating the process. This approach was based on operational UX logic that goes beyond producing aesthetic interfaces and instead reduces error rates for field teams, increases their speed, and allows visitors to complete their transaction flows more comfortably.
Cashier screens, the kiosk experience, and visitor touchpoints were designed to reduce decision-making time, simplify the transaction flow and support comfortable use of the system even during peak periods. As a result, the user experience was improved not only on the visitor side but also on the staff side.
INTEGRATION ARCHITECTURE AND BUSINESS BACKBONE
In the project, many components such as CRM, accounting, e-mail marketing, IYS, reporting tools, BI reporting systems, KidZoft and LOGO ERP integration were linked to the central structure. In this way, data flow was not limited to front-end transactions; it evolved into a more mature system working together with accounting, marketing, permission management, business intelligence and operational reporting.
While PAVO and Ingenico POS device integrations aligned physical cash register processes with the central system, custom setups such as Iş Bankası card features management enabled a more advanced campaign and payment experience. X8 Core Business Management Software, in turn, allowed this multi-layered structure to operate on a sustainable, extensible and manageable backbone.
VISIT JOURNEY, LOYALTY
AND DATA MANAGEMENT
One of the strongest layers of the KidZania City Management Automation was the approach of unifying the visitor journey through the database. As a result, user data coming from different touchpoints was made more meaningful, and visitor behavior could be read more accurately.
While the loyalty program made the relationship between the city and the visitor more sustainable, the promotion and campaign management system enabled commercial actions to be designed more agilely. The AI assistant was included in the project as a layer providing decision support and operational ease in specific processes.
CONTINUITY, RESILIENCE AND
EASE OF MANAGEMENT
This project was designed not only to manage daily operations, but also to ensure sustainability and resilience. While the maintenance agreement supports the technical continuity of the system, the disaster scenario management developed an approach to protect operation in unexpected situations.
This way, the system became more than just an infrastructure that works during peak times; it turned into a business solution where risk management is considered, continuity is planned, and management teams are given confidence.
RESULT
At the end of the project, KidZania's city operations became simpler, faster and more centrally manageable. While the bond between the visitor and the city was strengthened, loyalty schemes and customer journey management were brought to a more controlled level. Cash register and cashier management became easier, operational touchpoints became more efficient, and city management was consolidated end-to-end under a single software roof.
On the measurable side, the main output delivered for this project was process refinement and ease of city management. This shows that the system not only enabled digitalization, but also directly elevated daily operational quality and managerial efficiency.
